We are pleased that you would like to apply to Volkswagen AG, Berliner Ring 2, 38440 Wolfsburg, jobs@volkswagen.de, registered in the Commercial Register of the Local Court of Braunschweig under the number HRB 100484 ("Volkswagen AG", "we"). In the following, we would like to inform you about the processing of your personal data by Volkswagen AG as part of your application in our online application system

If you apply to another Group company, it will act as the independent controller for the subsequent application process. Please note the further information in the respective job advertisement.

B. Processing of personal data

I. Your application via the job portal

We process the personal data you provide within your application in our online application system exclusively for necessary purposes to ensure the effective and correct handling of the application process and for statistical purposes to promote inclusion and diversity in the Volkswagen Group through appropriate strategies. This also applies to data added in the course of the application process, e.g. from queries and documents submitted subsequently. In the online application process, data is requested that is required for the online application. The fields provided for this purpose are indicated by a red asterisk as "mandatory". In addition, further voluntary information can be provided in "optional fields" without a red asterisk. If you have already created a candidate profile, some data from this profile will be copied.

Relevant personal data includes:

  • Master data/personal information (e.g. title, name, identified gender, date and place of birth, nationality, private contact details, etc.),
  • Application data (e.g. cover letter, curriculum vitae, certificates, highest qualifications, certificates, etc.),
  • Details of marital status (marriage, civil partnership, children), if provided by you in your application,
  • Health data (severe disability or equality): You have the option of voluntarily providing information about the particularly sensitive personal date of the severe disability or equality, so that we can ensure that the representative body for severely disabled persons participates in the selection process,
  • Your registration data (surname, first name, country of residence, e-mail address and password) will be collected for the purpose of providing you with access data for our job portal.

Further data relevant to the application process may also be requested by us, depending on the individual process status, if this is necessary for the successful implementation of the application process.

You have the option of making your candidate profile visible in the job portal only in the context of specific applications. As part of your application to us, the profile will thus be visible to our recruiters or recruiting teams, who will supervise your application.

Your data is transmitted in encrypted form.

In order to make our offers more attractive to future applicants, you can also tell us when you apply how you became aware of our vacancies. Of course, this information is voluntary and has no influence on the application process.

II. Is there an obligation to provide personal data?

The provision of your data is neither legally nor contractually required. However, if you would like to apply for a specific position via our job portal, it is necessary to provide your data so that Volkswagen AG can decide on your application – and thus ultimately on your hiring. Please note the further information in the respective job advertisement.

III. On what legal basis do we process your data?

As part of the application, we process your personal data primarily to carry out the application process and to decide on the establishment of an employment relationship on the basis of Art. 6 (1) (b) GDPR in conjunction with Section 26 (1) sentence 1 of the Federal Data Protection Act (BDSG). If necessary, we process particularly sensitive personal data to process your application on the basis of Art. 9 (2) (h) GDPR in conjunction with Section 22 (1) No. 1 (c) BDSG.

IV. Processor

The Volkswagen AG job portal, in which the application process is embedded, with the subpages of the participating Group companies, is provided by SAP Deutschland SE & Co. KG (Hasso-Plattner-Ring 7, 69190 Walldorf, Germany). Your data will therefore be processed by SAP SE, who acts on behalf and in accordance with the instructions of the Group companies. Your data is stored in a data center in Germany with a backup in Europe.  

In addition, Volkswagen AG also uses other service providers (so-called processors) who are given access to data to the extent contractually defined in each case. These include, among others:

  • Companies of the Volkswagen Group that provide services for Volkswagen AG (e.g. IT services for the operation and support of the recruiting system)
  • Services (applicant hotline, data processing assignments in the recruiting process)
  • Background check service providers
  • Hosting service providers (e.g. provision of software for online selection processes)

V. Data Deletion

After completion of the application process for which we received your data, it will be automatically deleted from the system after 180 days. Automatic deletion does not apply if:

  • You log in to your profile within the 180 days,
  • You are in an active application process.

In addition, you have the option of updating or deleting your data/candidate profile independently in the system at any time.

You can withdraw your application at any time and/or adjust your profile visibility settings. This will be taken into account in the application process.

In addition, you can delete your profile at any time or ask us to do so via jobs@volkswagen.de. Regardless, you can exercise your right to erasure in accordance with the rights described below.

Stored data that is transmitted to us in the course of an enquiry via the applicant hotline of Volkswagen AG will be deleted after 61 days at the latest.

VI. Anonymization

Your data may be used in anonymized form to optimize our application processes in accordance with Art. 6 (4) GDPR. The reference to your person is omitted within in the context of anonymization.

C. Use of Cookies & Tracking Tools

The SuccessFactors application of SAP SE uses various cookies.

I. What are cookies and on what legal basis are they used?

A cookie is a small data file that is stored on your hard drive of your device and contains data e.g. personal page settings and login information. This data record is generated by the web server with which you have established a connection via your web browser and is sent to you. In general, we use cookies to analyze interest in our websites and to improve the user experience of our websites.

Cookies can be divided into the following four categories based on their function and processing purpose:

  1. Cookies that are essential for the functionality of the application are called technically necessary cookies. The processing and storage of technically necessary cookies is carried out in accordance with Section 25 para. 22 No. 2 of the Telecommunications Digital Services Data Protection Act (TDDDG) in conjunction with Article 6 para. 1 sentence 1 lit. b) of the General Data Protection Regulation (GDPR).

    The legal basis for the use of the following cookies is consent in accordance with Section 25 para. 1 TDDDG in conjunction with Art. 6 para. 1 sentence 1 lit. a) GDPR. We only use cookies other than those that are technically necessary if you give us your consent. You consent by using the corresponding buttons, for example in a cookie manager.   2. In order to better understand the use of the website and optimize the website for your visit, performance cookies may be used.
  3. Cookies that increase the convenience and functionality of the application are called functional cookies.
  4. In order to create a pseudonymized user profile, tracking cookies may be used.

II. How we use Cookies

For use with SAP SuccessFactors, technically necessary cookie are required to ensure technical functionality. These neither store personal data nor enable tracking of your usage activities. 

Furthermore, we use cookies on the websites of the "Recruiting (REC)" module to analyze interest in our websites and to improve the user-friendliness of our websites. Our websites use cookies to provide complete functionality, provide you with a tailored browsing experience, and allow us to optimize website performance.

III. Cookies storage duration

The cookie type can be identified by how long it persists.

  • Session cookies are only required for the duration of your session and will be deleted or invalidated once you close our website.
  • Persistent cookies or log cookies remain on your device for a predefined longer period of time. These allow you to access our websites more quickly without having to reconfigure certain settings, such as the language you have chosen.

IV. Third party Cookies

The Recruiting websites may contain links to third-party websites, plug-ins and applications. Clicking on those links or enabling those connections may allow third parties to collect or share data about you. We do not control these third-party websites and are not responsible for the content of, security or cookie policy of such sites. We recommend that you check the privacy, cookie and security policies of each website or social media service that you visit and/or sign up to.

Please note that during your visits to our websites you may notice some cookies that are not related to Volkswagen AG or its suppliers. When you visit a page with content embedded from Youtube, you may be presented with cookies from these websites. Volkswagen AG does not control these cookies. You should check the relevant third party websites for more information regarding these cookies and how to opt out.

V. How to disable Cookies

If you wish to restrict or block the cookies which are set by our websites you can do this at any time with future effect by restricting or blocking cookies through your browser settings and in our cookie consent manager. Right of access

You have the right to obtain information from us (Art. 15 GDPR) about the processing of your personal data.

Right to rectification

You have the right to obtain from us the correction (Art. 16 GDPR) of incorrect or incomplete personal data concerning you.

Right to erasure

You have the right to request the deletion of your data if the conditions specified in Article 17 GDPR are met. Thereafter, you can, for example, request the deletion of your data insofar as it is no longer necessary for the purposes for which it was collected. You can also request deletion if we process your data on the basis of your consent and you withdraw this consent.

Right to restriction of processing

You have the right to request the restriction of the processing of your data if the requirements of Article 18 GDPR are met. This is the case, for example, if you dispute the accuracy of your data. For the duration of the verification of the accuracy of the data, you can then request the restriction of processing. 

Right to object

You have the right, on grounds relating to your particular situation, to object to the processing of your data by us if the processing takes place on the basis of a legitimate, balanced interest. In the event of an objection, we ask you to inform us of your reasons for objecting to data processing. We will then no longer process your personal data unless we can demonstrate compelling legitimate grounds for the processing that outweigh your interests, rights and freedoms, or the processing serves to assert, exercise or defend our legal claims. 

Right to data portability

If the data processing is based on consent or the performance of a contract and this is also carried out using automated processing, you have the right to receive your data in a structured, commonly used and machine-readable format and to transmit it to another data processor.

Right of revocation

If the data processing is based on consent, you have the right to revoke your consent at any time free of charge with effect for the future.

Right to lodge a compliant

You also have the right to complain to a supervisory authority (e.g. the State Commissioner for Data Protection of Lower Saxony/Landesbeauftragte für den Datenschutz Niedersachsen) about our processing of your data.
